E-mail Usage Limits & Checking Your Usage

Student e-mail accounts have 1000 MB of space. Faculty and staff accounts have 1000 MB of e-mail storage space. “Total size” is the space being used by your account. The size is displayed in kilobytes (KB). Approximately 1,000 kilobytes is equal to 1 megabyte (MB). For example: 23,000 kilobytes is equal to approximately 23 megabytes. Each folder size is listed in the window. Scroll through to determine which folders are larger and can be targeted for cleanup. Most of the time, Inbox, Sent Items, Deleted Items, and Drafts tend to be larger.

E-mail space limitations follow three steps:
1st limit: You receive a warning. 
2nd limit: You cannot send mail. You must delete e-mail before you will be able to send mail.

3rd limit: You cannot send or receive mail. At this point you must delete e-mail before you can receive mail.

You can check your current mailbox size in Outlook from the Outlook desktop client or Outlook Web App.

Microsoft Outlook 2010: How to View Your Mailbox Size

  1. Open Outlook 2010.
  2. From the File tab look for your mailbox size graphic located next to the Cleanup Tools box.
  3. To see a detailed breakdown of your mailbox, click Cleanup Tools and then Mailbox Cleanup.
  4. Click View Mailbox Size.

Microsoft Outlook 2007: How to View Your Mailbox Size

  1. Open Outlook 2007.
  2. Right Click the folder where size needs to be determined (e.g Inbox).
  3. Select Properties from the menu.
  4. Click Folder Size.

Microsoft Outlook Web App: How to View Your Mailbox Size

  1. Login to Outlook Web App.
  2. Mouse over your name above the Inbox. A graphic will display your quota usage.
